1. Who We Are

CareerVidz Talent is operated by Intelligent HQ Ltd. We are the data controller for personal data collected via this platform. Contact us at support@careervidztalent.com.

2. Data We Collect

  • Account data: name, email address, password (hashed and stored securely — we never see your password in plain text)
  • Profile data: location, right to work status, work history, education, skills, headline, target role, hobbies, availability, salary expectations, work preferences, and photo
  • Media content: video introductions, voice introductions, uploaded CV/resume files
  • Certification & learning data: course enrolments, quiz scores, quiz attempts, module progress, pass/fail records, badges, and downloadable certificates
  • Externally uploaded credentials: external certificates, references, and career highlights you upload to your profile
  • Leaderboard data: employability score, badge count, profile strength, and display name (where you opt in)
  • Payment data: billing details, purchase history, subscription status — processed and stored by Stripe. We do not store card numbers.
  • Job activity: job applications you submit, invitations you receive, application status
  • Affiliate data: referral codes, click records, and commission history
  • Communication preferences: consent records, opt-in/opt-out timestamps, wording version shown, source of consent, IP address and user agent at time of consent change
  • Usage and technical data: pages visited, features used, device and browser information, IP address, session data
  • AI-generated content: script drafts, summaries, or suggested text generated on your behalf using AI tools, if you use these features
  • Support communications: emails and messages sent to us

3. How We Use Your Data

  • To provide, maintain, and improve the platform and its features
  • To display your Talent Profile to employers, recruiters, hiring partners, and ATS-integrated systems
  • To process purchases, manage access to courses, and manage subscriptions
  • To issue, track, and verify certifications, badges, and certificates
  • To send service communications: account verification, purchase receipts, course enrolment confirmations, security notices, password resets, and operational notices
  • To send marketing emails and other marketing communications where you have given consent, and for soft-opt-in email marketing for our own similar products and services where permitted by applicable law
  • To send you SMS, WhatsApp, push notifications, employer opportunities, recruiter introductions, and partner offers where you have given consent
  • To calculate and display employability scores, leaderboard rankings, and badge achievements
  • To operate the jobs board and match candidates to employer listings
  • To process affiliate referrals and commission payments
  • To provide administrative support, including account impersonation for technical support with your permission
  • To moderate, review, and if necessary remove content or accounts
  • To detect and prevent fraud, abuse, and misuse
  • To produce aggregated, anonymised analytics and benchmarking (no individual is identifiable)
  • To comply with our legal and regulatory obligations

5. Public Profiles & Sharing

Candidate Talent Profiles are public by default. Any person with the profile link — including employers, recruiters, and members of the public — can view your public Talent Profile, including your name, headline, skills, certifications, badges, employability score, and any content you have chosen to include.

We apply a noindex directive to public profile pages to discourage search engine indexing. However, we cannot guarantee that third-party services will not index, cache, archive, screenshot, or otherwise copy your public profile content.

If you set your profile to "hidden", it will be removed from employer search results and we will remove it from our platform's public-facing pages. It remains possible that previously shared links, cached copies, or third-party content may continue to display your information.

Certificates include a verification link to your Talent Profile. Sharing or downloading a certificate means the link may be circulated beyond the platform.

Leaderboards are public. If you have opted in, your display name (as set by you), score, and badge count may be visible to anyone.

6. Who We Share Data With

  • Employers, recruiters & hiring partners — profile data, CVs, certificates, media, and application data as made available through the platform
  • ATS and hiring system integrations — where employers use integrated tools, candidate data may be transferred to those systems
  • Base44 — platform infrastructure provider (hosting, database, authentication, file storage, backend compute, AI model routing)
  • Stripe — payment processing and subscription management
  • Resend — transactional and marketing email delivery
  • Google Analytics — anonymised usage analytics (only where you consent via our cookie banner)
  • AI model providers via Base44 — e.g. OpenAI, Google, Anthropic — for AI-powered features such as script generation and content suggestions. Data passed to these providers is used only to generate the requested output and is governed by Base44's data processor agreements.
  • Legal and regulatory authorities — where required by law
  • How2Become Ltd — a partner organisation that may receive candidate and purchaser data for the purposes of career development content, job preparation resources, and related product recommendations, where you have opted in to partner offers or employer opportunities
  • Business successors — in the event of a sale, merger, acquisition, or asset transfer (see Section 11)

We do not sell your personal data to third parties for their own commercial purposes.

7. International Transfers

Some of our sub-processors operate outside the UK and EEA. Where personal data is transferred internationally, we ensure appropriate safeguards are in place, including Standard Contractual Clauses, adequacy decisions, or other approved transfer mechanisms as required by UK GDPR and applicable law.

The platform supports users in multiple countries and regions. Pricing, currency, and tax handling may vary by region.

8. Data Retention

We retain your personal data for as long as your account is active. After you delete your account:

  • Profile, media, and personal content is deleted immediately
  • Purchase and financial records are retained for 7 years for UK legal, tax, and accounting compliance
  • Communication preference and consent logs are retained for 7 years for regulatory compliance
  • Aggregated, anonymised analytics data may be retained indefinitely

You can request deletion at any time via our data rights page. We aim to process deletion requests within 30 days.

9. Marketing Communications & Soft Opt-In

Where you consent to email marketing, we will send you information about courses, pathway upgrades, product updates, and similar services. You can unsubscribe at any time using the link in any email or via your Communication Preferences in account settings.

We may also send marketing emails about our own similar products and services to contacts whose email was collected in the context of a purchase or registration, where an opt-out was offered at collection and was not taken. This is in accordance with the "soft opt-in" provisions of the UK Privacy and Electronic Communications Regulations (PECR). You can object to this at any time.

For SMS, WhatsApp, push notifications, employer opportunities, recruiter introductions, and partner offers, we will only contact you where you have given explicit consent via your Communication Preferences.

All communication preference changes — including consent, withdrawal, and suppression — are logged with a timestamp, source, and wording version for audit and compliance purposes.

10. Your Rights

Under UK GDPR you have the right to:

  • Access — obtain a copy of your personal data
  • Correction — correct inaccurate or incomplete data
  • Erasure — request deletion of your data ("right to be forgotten"), subject to legal retention obligations
  • Portability — receive your data in a structured, machine-readable format
  • Object — object to processing based on legitimate interests or for direct marketing
  • Restriction — restrict certain processing while a dispute is resolved
  • Withdraw consent — where processing is based on consent, you can withdraw it at any time without affecting the lawfulness of prior processing
  • Lodge a complaint — with the Information Commissioner's Office (ICO) at ico.org.uk

11. California Residents (CCPA/CPRA)

California residents have additional rights including the right to know, delete, correct, and opt out of the sale or sharing of personal information. We do not sell personal information. To exercise your rights, visit our Do Not Sell or Share page or contact us at support@careervidztalent.com.

12. Business Transfer

If Intelligent HQ Ltd or the CareerVidz Talent platform is sold, acquired, merged, or transfers its assets or operations, personal data held by the platform may be transferred to the acquiring entity as part of that transaction. We will notify registered users by email prior to any such transfer where reasonably practicable.

13. Admin Access & Moderation

Our administrative team may access user accounts, profile data, uploaded content, and activity records for the purposes of customer support, technical maintenance, fraud prevention, content moderation, and legal compliance. Access is logged and restricted to authorised personnel.

We reserve the right to edit, correct, restrict, or remove any content, score, badge, or account that violates our policies or applicable law.

15. Changes to This Policy

We may update this policy periodically. We will notify registered users of material changes by email. The version date at the top of this page reflects the latest revision.
